Our platform is designated for simplifying and easy managing the recruitment process for both candidates and recruiting companies ("Candidate" and "Recruiter").

The security and privacy of your information are very important to us. Whether you are using one of our services as a Candidate, Recruiter, or just visiting our website, we want you to trust us with managing and protecting the information that you provide us with. We have prepared this statement to explain more about who we are and how we collect and manage your information.

The website is not directed toward children or minors, and an individual must be aged eighteen (18) or over to use our system.

By using any of our products or services (including our website) and/or by agreeing to this Statement, e.g., in the context of registering for any of our services or by any other means, you understand and acknowledge that we will collect and use Personal Data as described in this Statement.

While using our services and/or our platform, we only process your Personal Data on behalf of the Recruiter, and as set forth by the contractual arrangements concluded between us and the Recruiter – The purpose and the means of the processing of your Personal Data, are being determined exclusively by the Recruiter. Therefore, the Recruiter is the "Controller" for the purposes of EU General Data Protection Regulation ("GDPR"), while Webcand Ltd. is the "Processor", acting on his behalf.

However, when merely visiting our website without using the platform or any of our services, we might collect some information about your use in our website for our purposes, as set forth by this Privacy Statement.

Questions, comments, requests and complaints regarding this Statement and the information we hold are welcome and should be addressed to us by using the contact details above. All requests will be dealt with promptly and efficiently.

Information we may collect from you

"Personal Data", or personal information, means any information about an individual from which that person can be identified.

We collect Personal Data from you voluntarily when you provide such Personal Data to us, or on behalf of the Recruiters via our services with which you voluntarily interact during the recruitment process in our platform. We may also be given other Personal Data relating to you by other persons, or we may obtain such other Personal Data about you as may be provided to us in the course of our legitimate business activities, e.g. Recruiters may provide us with your contact details, in order to initiate a recruitment process, subject to an application made by you.

You do not have to provide us with your information, but in some cases, if you do not, it may mean that you are unable to use our services. For example, we may be unable to complete a requested recruitment process on behalf of Recruiter unless you provide us with your employment history and/or CV or give your consent to submit a video interview.

While providing services to you, or while operating as a processor on behalf of any Recruiter, we may collect and process the following data, which might contain your Personal Data: We may collect and process any Special Categories of Personal Data about you on behalf of the Recruiter (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data, Criminal information), but that’s only if and when you provide such data as part of the recruitment process, upon your sole discretion.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your Personal Data but is not reveal your identity.

The Legal Basis for the usage of your Personal Data

We will only process and use your Personal Data when the law allows us to, i.e. when we have a Lawful Basis for such usage. The purposes of the processing

First, we process your Personal Data on behalf of the Recruiter for various purposes, including: Identity verification; Helping you with using our platform; to complete and fulfil any subsequent stages of the recruitment process; provide you with support and respond to your inquiries regarding our platform; submitting a video interview to the Recruiter as part of the recruitment process; any other process required for the fulfillment of the recruitment process under the Recruiter instructions and upon your sole discretion.

In addition, we might use your data in order to: enable you to use our services in the most effective way, including the personalization of your experience by presenting content tailored to your interests; to manage your data in the platform and to send you administrative information; to meet or comply with any applicable rules, laws, regulations, codes of practice or guidelines issued by any legal or regulatory body; assess or evaluate the effectiveness of our system and services, as well as any technical and organizational measures designated for the protection of your Personal Data; protect our or the Recruiter rights and legitimate interests, as well as defend against any lawsuit, legal claim or complaint; to conduct any other activities that are required to provide our services, the proper use of the platform and the recruitment process as required by the Recruiter.

Transfer and disclosure of Personal Data

We are not in the business of selling your Personal Data. However, we may disclose your Personal Data to third parties in a variety of circumstances in the ordinary course of operating our business, such as: In any such transfer we will take steps to make sure such transfer is carefully managed to protect your privacy rights: any requests for information we receive from law enforcement or regulators will be carefully validated before the disclosure of any Personal Data.

As for the data collected by us on behalf of any Recruiter, the retention periods of such data are subject to the Recruiter decisions and guidance, as the "Controller" of the data. In some circumstances we may anonymize your Personal Data (so that it can no longer be associated with you) for research or statistical purposes in which case we may save and use this information indefinitely without further notice to you.

Under EU law, EU residents and individuals, have certain rights to apply to us to provide information or make amendments to how we process data relating them: These rights apply in certain circumstances in accordance with the provision of the GDPR (or any other applicable law). In addition, we may not always be able to do what you have asked, for example, if it would impact the duty of confidentiality we owe to others, or if we are otherwise legally entitled to deal with the request in a different way. Automatic Decision Making

Processing of Candidates' Personal Data through our automatic platform on behalf of the Recruiter, implies that you might be subject to a decision which is based on automated processing of your Personal Data.

Such processing is exclusively based on the criteria defined and established by the Recruiter, mainly in order to allow the Recruiter to better evaluate your candidacy and to determine which candidates are suited for a job or position. These automated decision-making processes include the risk that your application to a certain position will be refused solely based on algorithms.

We, as well as the Recruiters, are fully aware of those risks to your rights and freedoms. Yet, it should be emphasized that Webcand itself has no part in such decision making, does not define nor establish the criteria under which such automated decision making is made, and is not substantially involved in the Recruiting process.

In any event where you have been rejected exclusively due to an automated decision making, you have the right to express your point of view by contacting the Recruiter directly.

AI Processing of Candidate Data

Our platform uses Artificial Intelligence (“AI”) tools to assist Recruiters in evaluating certain aspects of the recruitment process.

Video Interview Answers Analysis: When a Candidate provides an answer during a video interview, the system transcribes the spoken response and uses AI to analyze only the content of the answer. The AI provides a score and explanation strictly related to the content quality (such as clarity, coherence, and completeness). It does not predict or determine the Candidate’s suitability for a specific job role. Personal information or identifiers of the Candidate are not sent to the AI engine.

Resume-to-Job Matching: The platform also offers AI-powered functionality to check how well a Candidate’s resume matches the job requirements defined by the Recruiter. In this process, only the textual content of the resume is processed, without any personal details of the Candidate. The AI compares the job description and the anonymized resume content to generate a relevance score and explanation.

In all cases, any data sent for AI processing is stripped of personal identifiers, ensuring that no personally identifiable information is disclosed to or used by the AI models.

The system serves solely as a technological platform that enables its clients to manage recruitment processes, digital interviews, questionnaires, candidate invitations, and related actions. Webcand does not initiate, edit, supervise, or approve any content entered into the system by users.

Use of AI and Information Processing Policy

Use of Artificial Intelligence (AI) Technologies

The system uses artificial intelligence technologies for analyzing textual content, assigning scores, generating insights, and evaluating suitability for job requirements, as part of the digital interview and questionnaire process.

Textual Transcription Processing Only

For AI-based analysis, the system uses only textual transcriptions of candidates’ answers to video interview questions. These transcriptions are sent for analysis in a manner that does not include identifying details of the candidate.

Purpose of AI Processing

The information sent for AI processing is not used, and is not intended to be used, for training general or public third-party models, but solely for the purpose of providing the service, in accordance with the relevant agreements.

Customer Responsibility for Content

The using company is responsible for the content of the transcriptions generated from the interviews it defines and must ensure that its use of the system and AI complies with applicable laws, including privacy, labor, and anti-discrimination laws.

Security Measures and Risk Mitigation

The company implements reasonable technological and organizational measures to reduce privacy risks, prevent candidate identification, and protect the information processed במסגרת AI services. The system was designed according to a Privacy by Design approach, minimizing the personal data sent for automated processing.

Changes to this Privacy Statement

We reserve the right to change this statement from time to time at our sole discretion. If we make any changes, we will post those changes here so that you can see what information we gather, how we might use that information and in what circumstances we may disclose it. By continuing to use our site or our services or otherwise provide data after we post any such changes, you accept and agree to this statement as modified.
